Administrative Assistant


Job Objective:

To be the face and administrative support person for Cedar Rapids Tire. Maintain a positive outlook and strong work ethic while working independently. Be involved in many facets of a growing company.


Responsibilities:

  • Greet customers, clients and vendors with a smile and positive attitude.
  • Answer incoming calls and direct to the appropriate person.
  • Assist walk-in customers as needed or call sales staff for assistance.
  • Inbound mail, sorting, distributing and processing as required. Prepare outbound USPS parcels for pickup.
  • Maintain workflow by processing paperwork for incoming inventory shipments as efficiently as possible.
  • Work with Operations Manager and Warehouse Lead to resolve inventory questions and discrepancies.
  • Process account applications sent to CRT by entering into database and requesting credit information as needed. Passing completed credit packet to GM for approval.
  • Maintain office supplies inventory by checking stock to determine inventory level; preparation of purchase order for supplies to GM, ordering and verifying receipt of supplies.
  • Enter all vendor invoices, including drop shipments, inventory and expense into A/P software. Scan and attach copies of invoices to prepare for export and payment by shared services group.
  • Monitor printer for customer orders for warehouse and process according to office guidelines.
  • Route incoming purchase orders received via fax to appropriate sales personnel, also fax as requested by office and sales staff.
  • Cash handling for customers who wish to pay via cash, check or credit card. Balance cash drawer weekly and prepare deposit.
  • Post deposits to accounts receivable daily.
  • Handle electronic orders for key customers, including entering orders, communication with vendor on backorders/out of stock and electronic invoicing for orders.
  • Sort and mail monthly customer statements.
  • Maintain postage machine and adequate postage for office needs.
  • Work with all staff to assist in administrative duties to expedite services to customers and vendors.
  • File invoices and related documents in file cabinet.
  • Keep front office in neat and tidy condition.
  • Contributes to team effort by accomplishing related results as requested.

Preferred Requirements:

  • 2- or 4-year college degree or equivalent experience, accounting education and experience preferred.
  • Knowledge of basic accounting principals, with knowledge to navigate spreadsheets and word programs.
  • Ability to maintain confidentiality and should be self motivated.
  • Effective communication and written skills.
  • Ability to prioritize.
  • Good time management skills.
